Create your Profile

Your profile contains descriptive information about who you are, what you do, and how to contact you.

Profile location

The "Profile Box" is to be placed and kept in the right-most column of the "Get started" page. This is both for usability and for accessibility.

Customize your Profile

  1. Navigate to LibApps.
  2. Click on "My Profile" in the command bar.
  3. Click on the "Profile Page" tab.
  4. Use the "Page Settings" to configure your profile page
    • Leave the "Profile Page" option set to "Enabled".

This announces who you are to the reader.

  • The recommended title is: "Your librarian"
  • The default is: "Librarian"

Profile Image

The image should be:

  • Current, and kept current
  • A photograph OR a true representation of you (e.g., a cartoon or drawing)

Pronouns

Pronouns can be added in the "Pronouns" field. This field can be left blank so that it will not be displayed if you do not want to disclose your pronouns. 

Contact Info, Social Media, and Social Cataloguing 

As a best practice, these fields are left blank. your phone extension may be added to "Contact Info" if you are comfortable. 

Email

The email button will lead to a personalized contact form. The email form must be used because our information desks do not have email clients installed so this is the only way to send email to liaison librarians.

How to set up your email

  • Do not use the "Email Address" field found in the "Contact Info" box of your "Profile Page".
  • Do add the following code to the "Other Widget Code" field found in the "Widgets" box of your "Profile Page":

Booking calendar

You have the option of adding your booking calendar code to the "LibCal Widget Code" field in your "Profile Page".

  • Do not add it to the "Other Widget Code" field; reserve this field for the email form code.

To set up a booking link on your profile: 

  • The first step is to set up an MS Bookings Calendar. If you have an MS Bookings calendar set up already, you can jump to the next section. 
  • IST has a page set up to walk you through the process of how to create an MS Bookings Calendar. 
  • You have to submit a request through that page and follow the instructions for setting up your calendar before you can connect it to your LibGuides page. 

Once you have received access to MS Bookings, and have built your calendar, ensure that it is synced with your Outlook calendar, so that your bookings do not compete with other appointments.

  • In the Outlook app, in your Calendar, find “Share Calendar” along the top menu.
  • In the calendar properties, ensure that your settings for “My Organization” are set to “Can view when I’m busy.” This will likely already be true, but it’s always good to double check.
  • You need to manually adjust your MS Booking Time Zone when setting up your calendar. Otherwise, you’ll be getting booking for 4 in the morning. 

    • In your Booking Calendar, select “Booking Page” from the left hand menu, then “Region and Time Zone” from the “Manage your booking page” – it’s the last option. Ensure that you have Eastern Time selected. 

  • In addition to the steps indicated above in Outlook, also follow these steps in MS Bookings.

    • Choose “Staff” from the left-hand menu, then edit your profile. In the pop-up window, under availability, ensure that the “Events on Office calendar affect availability” option is checked. 

In the LibCal Widget Code field, paste the following code, changing the a href link text to the appropriate link from your own calendar. 

  • To find the appropriate link from your Bookings Calendar, go to Booking Page and click 'Copy' to copy the calendar link.

Chat in Teams

You can enable the ability for users to send you a direct message in Teams. This is not mandated, and is entirely your choice.

In the LibAnswers Widget Code field, paste the following code, changing the a href link text to the appropriate link from your own calendar.

Multiple profile boxes

When a LibGuide has multiple authors, profile boxes can be added for each author by doing the following:

  1. Add another box to the right-hand column
  2. Go the the "Type" drop-down menu and select "Profile".
  3. Save the box.
  4. Select the gear icon for the box.
  5. Select the appropriate author name. 

Do not include more than two profile boxes. If a larger team maintains the guide, the profile box could include information regarding this team of people and their shared contact information, such as email aliases.
